Where the money gets committed today

The repair is agreed on the phone. Accounts payable finds out from the invoice.

    A property manager rings a heating engineer about a boiler, or a roofer about a leak. Nothing records who agreed to what, or at what price.

  • Authority limits sit in a policy

    Everyone knows the limits exist. Nothing checks the instruction against them before the contractor starts on someone’s word.

  • Every invoice needs chasing

    Accounts payable has to ask the property manager whether the work was instructed and the price agreed, one invoice at a time.

  • Who agreed it is hard to show

    When a leaseholder or a director of the RMC asks who approved a repair, the answer is in a call log or someone’s inbox.

How it works

Request, approve, order. Then the invoice has something to check against.

The first three steps happen in Mittral. The fourth happens in whatever you use to process invoices today.

  1. Request

    The property manager picks the landlord company, the block and the contractor, adds the lines and attaches the quote and photos of the fault.

    The request goes to each approver in turn until one whose limit covers the total signs it off.

    A numbered purchase order is emailed to the supplier as a PDF. It can be revised, sent again or cancelled.

    The contractor quotes the order number on the invoice. Accounts payable checks it against an order that was approved before the work, without ringing the property manager.
