Getting started

From sign-up to your first purchase order (PO) emailed to a supplier.

1. Create your account

Choose Start free and sign up with your email address. You’ll be asked to confirm it: Mittral only sends POs to suppliers from confirmed accounts.

Every workspace starts on the Free plan, free forever: 2 users, 10 POs a month and 1 GB storage. You don’t need a card.

2. Create your workspace

Enter your company or team name, the currency you buy in, your time zone and the tax you pay on purchases (a rate of 0 if none). Your monthly PO allowance follows the calendar month in this time zone.

A company has one workspace. If a colleague with the same company email domain has already created it, you’ll see Ask to join instead: the workspace’s admins are emailed and can invite you.

3. Add your company details

In Settings → Workspace, add the details printed on your POs: legal name, address, tax number and contact details. You can also set the PO number prefix, a PO footer and the reply-to address for supplier emails.

You can change the currency until the first request is submitted. After that it stays fixed, so amounts and approval limits keep their meaning. To buy from suppliers who invoice in another currency, add it under Foreign currencies on the same page, with your exchange rate.

Buying for more than one company? Add each one under Settings → Entities with its own legal name, address and tax number. A request is raised for one entity, and its PO prints that entity’s details. Admins and super users can raise requests for every entity; other members only for the entities assigned to them in Members, so assign people after adding an entity. Entities and lists.

4. Invite your team

In Members, invite people by email and choose their roles. A person can have several roles:

Role What they can do
Requester Raise purchase requests and follow them through approval and sending.
Approver Approve or reject requests routed to them.
Super user Decide requests no approver on a path can cover, see every company in the workspace and maintain approval paths.
Workspace admin Manage members, settings, approval paths and billing.

Pending invitations count toward your plan’s user limit. See user limits.

5. Decide who approves what

In Approval paths, set each person’s approvers and limits, and the rule for people without a path. Until you change it, nothing is approved automatically and requests go to super users. Nobody can approve their own request. How approvals work.

6. Try it with sample data (optional)

An empty workspace offers Load sample data on the dashboard: sample suppliers, items, projects and accounts, and a draft request. Sample suppliers have no email address, so no PO is ever sent to them. Choose Clear sample data when you’re ready to add your own: one at a time under Settings → Suppliers and lists, or all at once with a CSV import.

7. Raise your first purchase request

Choose New request, pick a supplier (or type in a once-off supplier) and add the lines. Attach quotes or photos: PDF, JPG or PNG, up to 10 MB each and 10 files per request. Photos are resized in your browser before they upload.

Files stay internal unless you tick Send to supplier with the PO (up to 5 files and 10 MB in total). Then Submit for approval, or Save draft to finish later.

8. Approve it and send the PO

The approver finds the request in Approvals and chooses Approve request or Reject request (with a reason the requester sees).

After the final approval, Mittral creates the PO as a PDF and emails it to the supplier, with your company named as the buyer. The request shows its approval, the PO and the email delivery separately: Not sent, Sending, Sent or Sending failed. Sent means the email left Mittral, not that the supplier has read or accepted it.

If the supplier has no email address, the PO is still created and the requester is asked to download it and send it themselves. You can download any PO as a PDF on every plan.

Emails from Mittral

Whoever creates the workspace gets a welcome email with these steps, and a reminder two days later if no purchase request has been submitted yet. Each has an Unsubscribe link that works without signing in, and unsubscribing stops these setup emails in every workspace.

Emails about the workspace itself go to its admins and can’t be turned off, because someone needs to act on them: usage reaching 80% or 100% of a limit, POs on hold and released, and billing (a failed payment, a cancellation, moving to Free). Approval requests and decisions go to the people involved.
