How a school order happens today

The requisition is signed on paper. The trust finds out from the invoice.

  • Requisitions wait in a tray

    A head of department fills in a paper form and leaves it for the business manager. Nobody knows it has been signed until they ask.

  • The scheme of delegation lives in a document

    The trust sets who can approve what, but nothing checks a requisition against it at the moment the order is placed.

  • Suppliers go ahead on a phone call

    A coach is booked for a trip, or a contractor called out to the boiler, before anyone with the authority has said yes.

  • Audit means finding the paper

    When the auditors ask who approved a purchase, finance goes looking for signed forms in every school.

How it works

Request, approve, order. Then the invoice has an approved order to check against.

The first three steps happen in Mittral. The fourth happens in whatever you use to process invoices today.

  1. Request

    The head of department picks the school, the supplier and the trip or project, adds the lines and attaches the quote.

    The request goes to each approver in turn until one whose limit covers the total signs it off.

    A numbered purchase order is emailed to the supplier as a PDF. It can be revised, sent again or cancelled.

    The supplier quotes the order number on the invoice. The finance team checks it against an order that was approved before anything was booked.
