Where the money gets committed today

The order goes in on a phone call. The QS finds out from the invoice.

  • Materials go straight on the merchant account

    A site manager rings the merchant for timber and plasterboard. It goes on the account, and nobody else agreed the quantity or the price.

  • Plant is booked before anyone signs it off

    A mini digger for a week, a skip swap, another lift of scaffold: hire is arranged on a call, and the first record of it is the hire company’s invoice.

  • Invoices arrive with nothing to check them against

    The quantity surveyor has to ring site to ask what each invoice was for, and which job it belongs to.

  • Orders are known too late

    Until the invoices are in, the office can’t see what has been ordered, which is too late to question it.

How it works

Request, approve, order. Then the invoice has an approved order to check against.

The first three steps happen in Mittral. The fourth happens in whatever you use to process invoices today.

  1. Request

    The site manager picks the company, supplier and job, adds the lines and attaches the quote and a photo from site.

    The request goes to each approver in turn until one whose limit covers the total signs it off.

    A numbered purchase order is emailed to the supplier as a PDF. It can be revised, sent again or cancelled.

    The merchant or subcontractor quotes the order number on the invoice. The QS checks it against an order that was tagged to the job and approved before the goods or the work.
